Coach guide

Submitting an athlete for elite mobility

This guide covers the whole process, from your account to the decision. Read it once before your first submission. If something here does not answer your question, contact support.

Before you start

You need these three things before you can submit. You can create your GymPass account at any time.

Your account

To create an account, you give your name, email address, USA Gymnastics member number, date of birth and a password. GymPass uses your date of birth once, to match your membership with USA Gymnastics. It does not store it. Then confirm your email address from the link we send you.

If an administrator invited you, the invitation email has a link that lets you set your password. If you forget your password, use “Forgot password” on the sign-in page.

You can start a submission only after the membership check clears. While it is pending, GymPass checks again every night. If it has not cleared by the next day, contact support. Some results need a person to look at them.

Athletes and your club

Your club comes from USA Gymnastics. You can see it, and refresh it, on Settings → Club. You can add athletes only when your club is Active with USA Gymnastics.

Add an athlete by hand (first and last name, date of birth, gender, USA Gymnastics member number and at least one current level), or import athletes from your Scorsync club roster. Coaches at the same club share the same athletes. You can also add an athlete while you fill in a submission.

Mobility windows and dates

There is one mobility window each month from August to February. Each window has three dates:

These are the dates for the October 2026 intake.

You can start a draft at any time, but you can submit only while a window is open. A submission goes into the window that is open when you submit it.

The 3-step submission

  1. Submission details. Confirm four cards, in order: Sanction & registration (filled in for you from the open window and checked with USA Gymnastics), Athlete, Discipline & target (discipline, current and target level, age group and gender) and Qualification score. A card is saved when you confirm it. Typing that you have not confirmed is not saved.
  2. Video submissions. Upload one video for each requirement. When a requirement has options, say which option the athlete performed. Reviewers mark the criteria of that option.
  3. Review & submit. Check everything, sign, and submit.

The target level, age group and gender decide which requirements apply. You can see every path on the mobility requirements page, without an account.

The qualifying score

The athlete must already have the USA Gymnastics Championships qualification score for the level they compete in now. For a Level 10 athlete, that is the Level 10 score for their age group, not the score of the elite level they are applying for. Pick the result from the list of Scorsync results, or type the meet name, date and score yourself. If you type it, you must attach the official results (PDF, PNG or JPG, up to 25 MB).

The meet must be in the current calendar year. In January and February, meets from the previous calendar year also count.

Filming and uploading videos

These rules come from the USA Gymnastics mobility instructions:

GymPass checks each file after it uploads:

A video shows Ready when it passes these checks. Ready does not mean the video has been judged. In a web browser, keep the tab open until the upload finishes. If an upload fails, choose the file again. In the GymPass iOS app, uploads continue in the background. If you replace a video, the new one takes over when it finishes uploading.

Signing and submitting

On Review & submit, type your name and accept the statement. By signing, you confirm that you read the guidelines, that you registered and paid in Meet Reservation, and that the information is true. GymPass records the date and a fingerprint of what you submitted.

GymPass lists anything that is still missing before it lets you submit. After you submit, you get a reference number and an email receipt.

What each status means

Draft
You are still working on it. Nothing has been sent.
Submitted
We have it. It is locked and waits for intake.
Under review
Intake is checking it, or reviewers are marking it. You see this one status for all of these stages.
Revision requested
Intake or a reviewer needs a change from you. See revisions.
Achieved
The mobility is approved.
Not achieved
The mobility is not approved.

While a submission is being reviewed, you do not see marks, notes about the result, or who is reviewing it. The submission page shows the date results are expected.

How review works

  1. Intake. An intake coordinator checks each video for equipment, camera angle and date proof. They also check the official results, that the submission is complete, and your Meet Reservation registration. Then they send it on to review, or send it back to you.
  2. Two reviewers. A trained judge and a trained coach reviewer watch each video and mark each criterion pass or fail. They work independently and do not see each other's marks.
  3. A third reviewer, if needed. Where the two reviewers disagree, a third trained reviewer decides those criteria only.
  4. The decision. The Elite Committee Chair (EC Chair) issues the decision. Every criterion on every requirement must pass for the mobility to be achieved.

When a revision is requested

The status changes to Revision requested and you get an email with the reason. Change the items that were flagged, and leave the rest as it is.

There is no separate deadline for a revision, but review waits until you resubmit. After you resubmit, review continues where it stopped.

The decision

You get an email, and the result appears on your submission page. For each requirement, you see the result and the reviewers' notes. For each criterion, you see the judge's mark and the coach reviewer's mark (“Coach” in the results means the coach reviewer, not you). You also see any notes from the EC Chair. Reviewer names are not shown.

The EC Chair can revise a decision later, with a written reason. If that happens, you get an email that says “Decision revised”.

After the decision

Achieved: GymPass updates the athlete's level. Under the R&P (Section VI C.10), the athlete must compete at the new level at a USA Gymnastics sanctioned competition in the season after the window. If not, the mobility loses its value.

Not achieved: there is no appeal. You can submit the athlete again for this discipline in a later mobility window, not in the same one. For medical or other extenuating circumstances, USA Gymnastics takes requests for mobility outside the usual window at ttmobility@usagym.org (R&P Section VI C.4.b).

Changing a submission

After you submit, you cannot withdraw or edit the submission, unless intake or a reviewer requests a revision. If you made a mistake, contact support as soon as you can.

You can archive a draft, restore it, or delete it for good. Each athlete can have only one submission for each discipline in each window.

Emails you will get

You can turn off the emails that are not marked “Always sent” on Settings → Notifications.

Getting help

When you are signed in, click ? at the top of any page and choose Contact support. Your request includes the page you were on, and the reply comes to you in GymPass and by email.
